This policy explains what data VOCTOS collects, why, and how you control it. VOCTOS is a digital agency working in SEO, Generative Engine Optimization (GEO), AI Search Optimization and Search Engine Reputation Management (SERM). Part of that work runs through our Client Portal at portal.voctos.com. We treat your personal data the way we treat client campaign data, carefully and on the record.

Using our website, our services, or the Client Portal means you agree to the practices described in this policy. Questions are welcome. Ask at any point and our team will answer.

What Information We Collect

We collect three types of information: information you give us directly, information collected automatically when you browse our site, and, for clients, information processed through the Client Portal.

Some of it you hand us directly. That happens when you fill out a contact form, request a free audit, subscribe to our newsletter, or ask for a proposal. We receive details such as your name, email address, phone number, company name and website URL. We use them only to answer your request, deliver the service you asked about, and follow up where relevant. We never use this data for anything you did not consent to when you submitted it.

Some of it is logged automatically. When you visit our website, our servers and analytics tools record certain technical data. That covers your IP address, browser type and version, and the device you are using. It also covers the pages you visit, the time and duration of your session, and the source that referred you here. This data is collected in aggregate and anonymized form. We use it to understand how our audience interacts with our content, improve site performance, and refine our digital marketing strategies. It is not used to identify you as an individual.

Clients give us more, because the Client Portal (portal.voctos.com) needs it to deliver and report on the engagement. It collects:

  • your Portal login credentials;
  • the third-party accounts you choose to connect, such as Google Search Console, Google Analytics, Google Ads, or Meta Ads;
  • the performance and campaign data pulled from those accounts;
  • project tasks, messages, documents and meeting notes exchanged through the Portal;
  • billing information such as invoice history and payment status.

We do not collect your bank card details. All payments are made by direct bank transfer using the details on your invoice.

How We Use Your Information

Every piece of data we collect serves a defined purpose. We use the information you provide to communicate with you about your project or inquiry, to send relevant service updates or educational resources you opted into, to prepare tailored SEO or GEO audits and proposals, and to improve the overall quality of our website experience. We do not sell your data, we do not rent it, and we do not share it with third parties for their own marketing purposes. Full stop.

For Client Portal data specifically, we use it exclusively to deliver, measure, and report on your own engagement, and to invoice you for services rendered. It is never used to benefit another client’s account, and it is excluded from the aggregated, anonymized benchmarking data described below unless you separately opt in.

Where we engage trusted third-party vendors, such as CRM platforms, email delivery services, or analytics providers, those partners operate under strict data processing agreements and are permitted to use your information only for the purpose of supporting the services we provide to you.

Cookies and Analytics

Our website uses cookies to function properly and to help us understand visitor behavior. Cookies are small text files stored in your browser. We use first-party cookies for session management and site functionality (including keeping you signed in to the Client Portal), and third-party cookies from platforms like Google Analytics to track aggregated usage patterns. When you first visit our site, a cookie banner lets you accept or decline non-essential cookies; you can change your choice at any time through your browser settings or the cookie preferences link in the site footer.

We also use Google Tag Manager and similar tools to measure the performance of our campaigns and landing pages. The data collected through these tools is processed in accordance with Google’s privacy terms and our own data governance standards.

Data Security

Protecting your data is not a formality here. It is a responsibility we take seriously. Our website and Client Portal run on HTTPS with SSL/TLS encryption. Access to our internal systems is protected by role-based access controls, strong authentication requirements, and regular security reviews. Personal data is stored on secure, firewall-protected servers and is accessible only to team members who need it to serve you.

While we implement industry best practices for data security, no system connected to the internet can be guaranteed to be completely impenetrable. In the unlikely event of a data breach affecting your personal information, we will assess it without undue delay and, where legally required, notify the relevant supervisory authority within 72 hours of becoming aware of it, and notify affected individuals promptly and directly.

Information Sharing and Disclosure

We do not trade, sell, or share your personal information with external parties for advertising or commercial purposes. Three limited circumstances allow disclosure:

  • when required by applicable law, court order, or governmental authority;
  • when necessary to protect the rights, property, or safety of VOCTOS, our clients, or the public;
  • in the event of a company merger or acquisition, in which case affected users will be notified before their data becomes subject to a different privacy policy.

Vendors support the Site and the Client Portal. They currently include Google Workspace, the Google Analytics, Search Console and Ads APIs, the Meta Ads API, our hosting provider, and our CRM and email delivery platforms. Each processes data only under a data processing agreement, and only to support the services we provide to you. We use no third-party payment processor. All payments are handled by direct bank transfer.

We may share aggregated, anonymized data that cannot be used to identify you with research partners or publish it as industry benchmarks. This type of data has no connection to your personal details and carries no privacy risk.

Third-Party Links

Our website and content may contain links to external resources, partner pages, or tools we reference for educational purposes. Once you leave our website, this Privacy Policy no longer applies. We have no control over and take no responsibility for the content or privacy practices of third-party websites. We encourage you to review the privacy policy of any external site you visit.

Your Rights and Choices

You have clear rights over your personal data. You can request access to the information we hold about you at any time. You can ask us to correct inaccurate data, to delete your data entirely, or to restrict how we process it. If you subscribed to our communications, you can unsubscribe at any time using the link in any email we send, or by contacting us directly. We will respond to access, correction, deletion, and restriction requests within one month, extendable by a further two months for complex requests, in which case we will explain the delay.

If you are located in a jurisdiction with specific data protection regulations, such as the GDPR, the Egyptian Personal Data Protection Law (Law No. 151 of 2020), or similar frameworks, the rights and protections outlined in those regulations apply to you in full, and we are committed to complying with them.

Data Retention

Contact and inquiry data is typically retained for up to 24 months following last contact, after which it is securely deleted or anonymized. Client Portal account data, project records, and invoices are retained for the duration of the engagement plus the period required by applicable Egyptian and international tax and accounting law (currently up to five years after the engagement ends). You may request earlier deletion at any time, subject to our legal record-keeping obligations.

Children’s Privacy

Our website and services are intended for business professionals and are not directed at children under the age of 16. We do not knowingly collect personal information from minors. If we become aware that a child has submitted personal data to us, we will delete it immediately.

Changes to This Policy

The digital landscape evolves constantly, and so do we. As we expand our capabilities in AI search optimization, generative engine visibility, and reputation management, this policy may be updated to reflect new practices, technologies, or legal requirements. We will always publish the most current version on this page, and for significant changes, we will provide additional notice. Your continued use of our website or the Client Portal after any update constitutes acceptance of the revised terms.
